How ActivePark handles parking, Gmail, support, payment, and operational data.

1. Information We Collect

ActivePark may collect operational data required to run parking workflows. This can include ticket details, customer contact details, vehicle information, valet status, shuttle and pick-up requests, key hook references, lot configuration, cash desk entries, package selections, support messages, and user account details.

2. Google and Gmail Data

When an authorized parking operator connects a business Gmail account, ActivePark requests Gmail read-only access using the https://www.googleapis.com/auth/gmail.readonly scope. This access is used to read booking, reservation update, and cancellation emails so ActivePark can import reservation details into the tenant dashboard.

The imported details may include customer name, customer email, phone number, order ID, vendor name, booking dates and times, parking lot information, vehicle details, reservation status, cancellation details, and related email metadata such as sender, subject, and message date.

ActivePark does not use Gmail access to send emails, delete emails, modify mailbox content, mark emails, create labels, change settings, or access Gmail for advertising purposes.

3. How Information Is Used

We use information to manage parking tickets, import reservation emails, coordinate valet and shuttle operations, maintain lot records, generate reports, process support requests, troubleshoot ingestion issues, and improve software reliability. Data is used only for business and operational purposes related to the ActivePark system.

4. Storage and Retention

Parsed reservation data from Gmail may be stored in ActivePark ticket and reporting records for the parking operator's operational, accounting, support, dispute handling, and business continuity needs. Email message metadata and raw email content may be stored temporarily when needed for ingestion, retry processing, troubleshooting, or audit purposes.

Retention periods can depend on the parking operator's internal policy and applicable business or legal requirements. Operators may request deletion or disconnection of a Gmail account by contacting ActivePark support.

5. Data Sharing

We do not sell operational data or Google user data. Gmail data is not shared with advertisers. Information may be shared only with service providers when necessary to host the application, maintain databases, send support communications, troubleshoot software issues, secure the service, or comply with legal requirements.

6. Google API Limited Use

ActivePark's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide and improve user-facing ActivePark email ingestion and reservation management features.

7. Payment Information

Software package subscriptions are processed through Square Web Payments and Square Subscriptions. Payment fields are hosted by Square, and ActivePark does not receive or store full card numbers, CVV codes, or card authentication data. Square stores payment methods only after the customer authorizes recurring monthly billing.

8. Reports and Analytics

Revenue, billing, cash desk, ticket, valet, Gmail ingestion, and lot reports are created from system records. These reports may include operational and financial summaries needed by parking lot owners or managers.

9. Security

ActivePark uses application controls, account permissions, configuration-based credentials, hosted payment fields, and standard web security practices to reduce risk. Operators should also protect user accounts, limit staff permissions, and keep configuration secrets private.

10. Account Access and Revocation

Only authorized tenant users should connect a Gmail account to ActivePark. A connected Gmail account can be disconnected from ActivePark, and access can also be revoked from the user's Google Account permissions page.

11. Support Requests and Authentication

When a support form is submitted, the name, email address, and message are used to respond to the request and investigate the issue. Support messages should not include passwords, card numbers, or unnecessary sensitive information.
